Responsible Care Audit Preparation: A Plant Manager's Guide

March 18, 20267 min read

3 Months Before the Audit

Conduct a full gap analysis using the RCMS or RC14001 standard as your checklist. Be brutally honest about where your current practices fall short. Identify all gaps and create a prioritized action plan with assigned owners and deadlines.

1 Month Before the Audit

Ensure all required records are complete, up-to-date, and easily accessible. Hold briefing sessions with key personnel so they understand the audit process and can speak confidently about their roles. Pay special attention to management review records, corrective action logs, and training records.

1 Week Before the Audit

Walk the plant floor with a critical eye. Ensure good housekeeping, proper labeling, and that all safety equipment is in place and functional. Verify that all recent corrective actions are fully closed and documented. Confirm that the audit schedule is communicated to all relevant personnel.

During the Audit

Assign a dedicated guide to accompany the auditor. Be transparent, answer questions honestly, and provide requested documents promptly. If you don't know the answer to a question, say so and commit to finding it — don't guess. Hold a daily debrief with the auditor to track progress.

The Most Common Mistakes

  • Trying to "paper over" gaps at the last minute
  • Not briefing employees on the audit process
  • Inadequate management review records
  • Open corrective actions from previous audits
  • Inconsistency between documented procedures and actual practice
